How to manage permitted visual identity variants across teams

Separate fixed identity elements, permitted template changes and reviewed exceptions so different teams can use one brand without forcing identical layouts.

Sales needs a page to send clients, marketing needs an event poster, HR needs a recruitment image, and a store needs a printed notice. Making everything identical can leave too little room for the information. Allowing unrestricted changes can produce several different-looking brands.

For visual identity use across departments, separate fixed elements, permitted adjustments and exceptions requiring review. Fixed elements protect recognition and facts; permitted adjustments address different contexts; exceptions resolve tasks existing templates cannot accommodate. A variant needs boundaries, examples and conditions, rather than a vague instruction to “use flexibly as appropriate”.

Identify changes that would damage recognition

Departments should generally not change the logo's proportions, company name, main lockup relationships or key product facts independently. The roles of brand colours, type hierarchy and necessary clear space also need recognisable relationships.

Fixed elements do not mean locking every coordinate. A landscape sales sheet and a portrait recruitment image have different reading sequences. Their layouts can change, but stretching a logo to fill a gap or recolouring it to emphasise an event is a different matter.

Specific rules make decisions easier. Show a correct lockup, a stretched version, allowed backgrounds and encroached clear space instead of saying “maintain the brand's character”. Protect recognisable elements, rather than every decorative position on one page.

Define the range of permitted adjustments

Users can be allowed to replace product photographs, dates, headlines and descriptions. Provide separate layouts for short and long content where needed. Each variant should identify its task, content capacity and editable areas.

A long job title may need a two-line heading, while a promotion needs to prioritise the product and offer conditions. Both can share logo, typography and spacing relationships without identical information structures. This is an application choice, not a reason to turn one recruitment template into a rule for every brand page.

Prepare for long content, missing suitable images and bilingual text. An ideal specimen alone can force users to shrink type, squeeze spacing or add boxes when real content arrives. They appear to be reusing a template while breaking its relationships.

Make the category of change clear

The following table can sit at the beginning of template instructions. Fill its boundaries from the company's confirmed rules.

In a hypothetical recruitment task, a job title grows from six Chinese characters to more than ten. Use the approved two-line version first. If the responsibilities still do not fit, reduce cover content and place them on following pages. Shrinking type every round obscures the standard and makes mobile reading harder.

ZHAMORE maintains its basic visual master separately from channel parameters. Colours, logos and shared relationships have one source; WeChat articles, the website and presentations then use parameters for their own page types and text roles. That structure is reusable, while the numerical values belong to each brand. A client's recruitment image should not acquire ZHAMORE's colours or website type sizes simply because it uses our working method.

Turn exceptions into answerable requests

When existing variants cannot handle a task, explain its purpose, viewing size, shortfall and proposed changes. The design lead can decide whether to extend a variant or add an application type without reopening the entire identity.

An exception can have a defined period or event scope. A special ratio required by an exhibition organiser may apply only to that event. It should not become the default afterwards. Conversely, a need repeatedly encountered by several teams may justify adding a validated solution to standard templates.

Match review to the risk of change. Replacing approved images is different from altering a logo, product promise or formal price. Clear paths for routine updates and responsibility for consequential changes help users follow the standards.

Test the instructions with a real revision

Give a sales, marketing or HR user an existing template and a real task. Observe whether they can find the version, select a variant, insert content and export independently. Constant prompting from someone beside them can hide missing instructions.

Check whether fixed elements survived, permitted changes stayed within bounds and exceptions were recognised. Repeated mistakes may reflect unclear template boundaries as well as inattention.

Begin with one frequently damaged template

Collect recent revisions of that template and identify recurring difficulties. Decide whether to improve the instructions, add a permitted variant or redesign that page type. Have an actual user complete a task independently, retaining the original, trial output and specific feedback. One successful trial does not validate departmental contexts that were never tested.
